How candidate information and site activity are handled across the Jobs Board.

1. Who We Are and What This Policy Covers

Scientia Digital Inc. (“Scientia Digital,” “we,” “us,” or “our”) is a company based in Ontario, Canada that owns and operates the Scientia Digital Jobs Board at scientiadigital.io/jobs and its related pages (the “Site”).

This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you visit the Site, use its features, communicate with us, or apply for an opportunity by email.

Scientia Digital is accountable for personal information under applicable Canadian private-sector privacy law, including the Personal Information Protection and Electronic Documents Act (PIPEDA), where applicable. Contractual obligations may also require us to protect information handled in connection with public-sector clients. Ontario’s public-sector Freedom of Information and Protection of Privacy Act (FIPPA) generally governs Ontario public institutions rather than private companies; it may nevertheless inform contractual requirements imposed by a public-sector client.

2. Opportunities Displayed on the Site

The Site displays opportunities sourced from client and procurement portals, including opportunities associated with the Ontario Public Service (OPS), Ontario’s Broader Public Sector (BPS), Metrolinx (MLX), and Service New Brunswick (SNB). Sources may change over time.

3. Information We Collect

3.1 Information You Send When Applying or Contacting Us

The Site uses mailto: links rather than an application-upload form. When you choose to apply or contact us, your email application sends information through your chosen email provider directly to Scientia Digital. Depending on what you include, this may contain:

  • your name and contact information;
  • your resume, employment history, education, qualifications, and skills;
  • immigration, work-authorization, security-clearance, rate, and availability information;
  • attachments and the contents of your message; and
  • the requisition ID or opportunity in which you expressed interest.

The Site itself does not operate a candidate account, application form, or application database. Scientia Digital nevertheless receives and processes information contained in emails and attachments after you send them.

Please do not send sensitive information that we have not requested.

3.2 Google Analytics and Site-Usage Information

We use Google Analytics 4 to understand aggregate Site traffic and how visitors interact with job postings. Subject to your analytics choice, Google Analytics may collect:

  • page views, session statistics, and referral information;
  • approximate geographic location;
  • browser, device, operating-system, language, and screen information;
  • a random or pseudonymous client identifier;
  • interactions such as viewing job details, sharing a posting, or selecting the apply action; and
  • the requisition ID and whether a detail view was opened from a table row or card.

Our Site does not intentionally send your name, email address, resume, application contents, or another direct personal identifier to Google Analytics. Google processes an IP address when receiving an Analytics request for functions such as approximate location and service security, but states that Google Analytics does not log or store individual IP addresses.

We configure Analytics for basic measurement. We do not use Google Signals, Google Analytics advertising features, advertising personalization, or a Google Ads link for Site Analytics. We do not configure a Google Analytics User-ID.

3.3 Hosting and Security Logs

Our hosting, storage, content-delivery, and security providers may automatically process technical information needed to deliver and protect the Site. This can include IP address, requested URL, date and time, browser or device information, referrer, response status, and security-event information.

3.4 Information Stored Only in Your Browser

The Site uses browser localStorage and sessionStorage for functions such as theme and filter preferences, navigation restoration, and caching the public job feed. This information normally remains on your device and is not a cookie. Clearing browser or Site data removes it.

If you disable Analytics, we store a non-tracking preference in your browser so the Site remembers not to load Analytics on that device.

4. Cookies and Your Analytics Choice

Google Analytics uses first-party cookies, including _ga to distinguish pseudonymous visitors and _ga_<container-id> to maintain session state. Under Google’s default settings, these cookies may remain for up to two years, subject to browser limits, unless you disable Analytics or delete browser data.

On your first visit, the Site displays a non-blocking analytics notice before Google Analytics loads. Analytics remains off during the notice period. If you do not disable Analytics during that period, basic Analytics begins after approximately 10 seconds. We rely on implied consent for this limited, non-sensitive analytics use based on the advance notice, limited purpose, and immediate opt-out.

You can disable Analytics using the notice or the persistent “Disable analytics” control in the Site footer. Disabling Analytics:

  • stops the Site from sending future Google Analytics events from that device;
  • prevents Analytics cookies from being created again while your preference remains disabled;
  • removes Site-accessible Google Analytics cookies; and
  • changes the footer control to “Enable analytics.”

Your choice is saved on that device using localStorage. Disabling Analytics does not erase measurements already transmitted. You can enable Analytics again from the footer, clear Site data through your browser, block cookies through browser controls, or use Google’s Analytics opt-out browser add-on.

5. How We Use Information

We use information for the following purposes:

  • to receive and respond to applications and inquiries;
  • to assess qualifications through human recruitment processes and communicate about opportunities;
  • to submit a candidate to a client when authorized and appropriate;
  • to operate, secure, troubleshoot, and improve the Site;
  • to understand aggregate traffic and job interactions;
  • to detect misuse, fraud, security incidents, and technical problems;
  • to correct job-posting errors and maintain records;
  • to comply with legal, regulatory, contractual, and client requirements; and
  • to establish, exercise, or defend legal rights.

We do not sell or rent personal information.

6. AI Transparency

Some job details are extracted, reorganized, normalized, summarized, or drafted with assistance from AI and other automated tools. This processing concerns source requisition content used to prepare the Site’s job details.

Scientia Digital does not use AI to screen, assess, rank, or select applicants after applications arrive. Applicant information submitted by email is handled through Scientia Digital’s recruitment process and is not sent to Google Analytics.

7. When We Disclose Information

We may disclose personal information as reasonably necessary to:

  • the client or prospective employer connected to an opportunity, with your knowledge or authorization where required;
  • service providers supporting email, hosting, storage, security, analytics, and business operations, subject to appropriate restrictions;
  • professional advisers, auditors, insurers, or financial institutions where necessary;
  • law-enforcement, regulators, courts, government bodies, or other parties where required or permitted by law; and
  • a party involved in a proposed or completed financing, reorganization, sale, merger, or transfer of all or part of our business, subject to appropriate safeguards.

Service providers used for the Site may include Google Cloud Storage, Firebase Hosting, Google Analytics, Cloudflare, and email-service providers.

8. Processing Outside Canada

Some service providers may process or store information outside Ontario or Canada, including in the United States or other jurisdictions. Information in another jurisdiction may be accessible to courts, law-enforcement, or national-security authorities under that jurisdiction’s laws.

Scientia Digital remains accountable for personal information transferred to a service provider for processing, subject to applicable law, and uses contractual or other measures appropriate to the sensitivity and purpose of the information.

9. Retention

We retain personal information only as long as reasonably necessary for the purposes described in this Policy and to meet legal, contractual, security, and recordkeeping requirements.

  • Google Analytics user-level and event-level retention is configured to two months. Google may retain aggregated reporting data for longer under its service operation.
  • Google Analytics cookies may remain for up to two years under default cookie settings unless Analytics is disabled, cookies are deleted, or browser limits shorten their life.
  • Application emails, resumes, attachments, and recruitment communications are retained based on the opportunity, candidate relationship, client requirements, limitation periods, and applicable legal or contractual obligations.
  • Security and hosting logs are retained according to operational need and provider settings.
  • Browser preferences and cached public job data remain on your device until replaced, expired by application logic, or cleared by you.

When information is no longer required, we delete, anonymize, or securely dispose of it, subject to backup cycles and legal holds.

10. Safeguards

We use reasonable physical, organizational, contractual, and technological safeguards appropriate to the sensitivity of the information. These include limiting access to authorized personnel, access controls, encrypted transmission where supported, service-provider controls, and security monitoring.

No transmission or storage method is completely secure. We cannot guarantee absolute security.

11. Accuracy, Access, and Correction

You may request access to personal information that Scientia Digital holds about you and ask us to correct inaccurate or incomplete information, subject to legal exceptions. We may need to verify your identity before completing a request.

12. Consent and Withdrawal

Where processing is based on consent, you may withdraw consent subject to reasonable notice and legal or contractual restrictions. Withdrawal may affect our ability to consider or submit an application, but disabling Analytics will not restrict access to job postings or core Site functions.

We will investigate privacy complaints and respond within a reasonable period. If you are not satisfied, you may contact the Office of the Privacy Commissioner of Canada where PIPEDA applies.

14. Third-Party Sites and Services

Links and user-initiated services, including email providers and LinkedIn, operate under their own privacy policies. We encourage you to review those policies before providing information.

15. Changes to This Policy

We may update this Policy to reflect changes to our services, sources, vendors, practices, or legal obligations. The revised version will show a new effective date. We will provide reasonable notice of material changes and obtain new consent where required.
